Secure, compliant IT asset disposal with onsite data destruction for a global financial organisation.
Background
A global financial data provider was undertaking a refresh of legacy infrastructure within one of its European data centre environments. As part of the project, a large volume of redundant servers, storage, networking equipment and data-bearing media needed to be securely retired in line with strict compliance, data protection and environmental regulations.
Given the sensitive nature of the data involved, the client required absolute assurance that all media would be irreversibly destroyed, with a full audit trail and certification to support internal governance and regulatory obligations.
Challenge
The client faced several key challenges:
- Securely decommissioning and disposing of a mixed estate of servers, storage and network equipment
- Ensuring onsite destruction of hard disk drives to mitigate any data security risk
- Aligning disposal processes with WEEE regulations and recognised data sanitisation standards
- Completing the activity within an operational data centre, with minimal disruption and clear governance
They required a trusted partner capable of managing both the technical and compliance aspects of IT asset disposal as a single, accountable service.
Our Solution
Technimove was engaged to deliver a specialist ITAD service, combining decommissioning support, onsite data destruction and secure offsite recycling.
Working closely with the client, Technimove deployed certified engineers to site to support one of two operational models, depending on the client’s internal resourcing:
- Option one provided a full end-to-end service, including decommissioning, de-racking, onsite HDD shredding and offsite disposal
- Option two supported client-led decommissioning, with Technimove focusing on onsite shredding and certified disposal
All hard disk drives were physically shredded onsite, allowing the client to witness the destruction process. Non–data-bearing equipment was transported via GPS-tracked vehicles to Technimove’s secure recycling facility, where assets were audited, processed for reuse where viable, or recycled in line with WEEE requirements.
Throughout the engagement, Technimove acted as the appointed Data Processor, ensuring all activities aligned with recognised standards including NIST 800-88, supported by ISO-accredited processes.
Outcome
The project was completed safely, securely and in full compliance with the client’s requirements:
- Sensitive data-bearing media permanently destroyed onsite
- Legacy infrastructure removed without disruption to live operations
- Full audit trail provided, including asset-level reporting
- Certificates of Disposal, Data Destruction Reports and Waste Transfer Notes issued
- All assets processed in line with environmental and regulatory standards
The client gained confidence that their retired infrastructure was handled responsibly, securely and transparently, reducing risk while meeting sustainability and governance objectives.
